  • Purpose of Role:

    Estimators are responsible for preparing accurate and comprehensive project quotes that align with the company's standards, timelines, and build expectations. Working under the guidance of the Lead Estimator, they support the successful planning and costing of scenic fabrication projects by utilizing vendor partnerships, internal resources, and estimating best practices.

    Key Responsibilities:

    Quote Development

    · Review project scopes and documentation provided by APMs or Project Managers.

    · Prepare complete, detailed quotes including labor, materials, and sub-vendor services.

    · Ensure accuracy, consistency, and competitiveness in pricing across all assigned quotes.

    · Meet deadlines for quote submissions, adjusting timelines as directed by the Lead Estimator.

    Collaboration & Communication

    · Communicate proactively with the Lead Estimator to clarify scope, priorities, or strategy.

    · Participate in quote reviews and kickoff meetings as assigned.

    · Collaborate with APMs and PMs to ensure alignment on technical expectations and deliverables.

    · Inform Lead Estimator of any obstacles, concerns, or resource needs affecting project estimates.

    Sub-Vendor Engagement

    · Work with Lead Estimator to obtain sub-vendor quotes and integrate them into overall pricing.

    · Assist in comparing sub-vendor options for price, availability, and suitability for project needs.

    Data Entry & Document Management

    · Maintain accurate records of quote files, element lists, and sub-vendor communications.

    · Follow Standard Operating Procedures (SOPs) for formatting, file naming, and data accuracy.

    · Track and update quote status in internal systems as instructed.

    Training & Growth

    · Take ownership of professional development through feedback and learning from the Lead Estimator.

    · Participate in training sessions and contribute to maintaining consistency across the estimating team.

    · Apply feedback received during quote reviews to improve accuracy and efficiency.

  • Reports To: Executive of Business Vision

    Purpose of Role:

    The Account Manager is responsible for cultivating strong client relationships, generating new business, and ensuring seamless communication between clients and internal teams. As the first point of contact and ongoing partner for clients, this role drives revenue, clarity, and trust from project initiation to closeout.

    Key Responsibilities:

    • Business Development & Client Relationship Management

    • Proactively generate and develop new business to meet and exceed production and revenue goals.

    • Maintain and nurture long-term relationships with existing clients.

    • Respond promptly and professionally to all client inquiries and requests.

    • Educate clients on company capabilities, policies, processes, and timelines.

    • Sales Process Execution

    • Follow the internal sales process from lead intake through contract close.

    • Ensure all client-facing project milestones are completed on time.

    • Collect and validate client-provided information relevant to the project scope.

    • Prepare and present custom sales proposals tailored to each project.

    • Negotiate contracts and work agreements in line with company policies.

    • Submit and track all required paperwork to ensure completeness and accuracy.

    • Ensure release payments are secured at project kick-off and close-out payments are processed promptly upon completion.

    • Internal Collaboration

    • Collaborate closely with the Project Management team to hand off all project scope, budget, and design details.

    • Participate in client design reviews alongside PMs to align creative direction with feasibility and budget.

    • Attend weekly strategic sales meetings to report on pipeline, goals, and client feedback.

    • Administrative & Other Duties

    • Maintain accurate documentation of all client interactions in CRM or designated systems.

    • Assist in developing sales tools or materials to support future growth.

    • Perform other duties as assigned by leadership in support of business objectives.

    Role Overview

    The Project Manager (PM) is responsible for leading projects from job confirmation through post-mortem, ensuring all project phases align with the company’s quality standards, budget, and schedule. The PM serves as the primary point of contact internally and externally, balancing client satisfaction, departmental coordination, and operational efficiency.

    Key Responsibilities

    Job Confirmation & Sales Handoff

    · Review RFQ, quotes, scratchpad, and sales & estimation folders upon assignment.

    · Identify risks and missing information from Account Managers (AMs).

    · Organize and lead the Sales Handoff meeting, ensuring thorough understanding of the project scope, budget, and timeline.

    Client Introduction

    · Officially introduce yourself to the client, setting clear expectations.

    · Confirm scope, production schedule, and install dates (especially critical for quick-turnaround projects).

    Scheduling & Planning

    · Develop and manage the project schedule by working backwards from the ship/install date, accounting for department workloads and buffer days.

    · Allocate hours strategically, balancing departmental needs and schedule risk.

    · Plan for material orders to prevent delays (often overlooked but critical).

    CAD & Production Release

    · Oversee CAD drawing phase ensuring accurate, timely completion.

    · Coordinate Approvals & Redlines with production and clients; confirm final approvals before production.

    · Issue the Production Release, ensuring all drawings and materials are ready.

    Fabrication & Finishing

    · Maintain ongoing communication with Fabrication and Finishing teams, resolving any issues swiftly.

    · Conduct Milestone #2 review to confirm quality, budget adherence, and readiness for finishing.

    Install Book & Wrap/Ship

    · Create a comprehensive Install Book including address, hotel/car rental, CAD drawings, pull sheet, show summary, production schedule, and critical communications.

    · Oversee wrapping, shipping, and logistics coordination to meet delivery deadlines.

    Installation & Client Communication

    · Act as the main point of contact during installation, ensuring client satisfaction and smooth communication with on-site teams.

    Post-Mortem

    · Facilitate anonymous or structured post-mortem reviews to capture lessons learned and continuous improvement opportunities.

    · Advocate for open communication and cross-departmental learning rather than blame assignment.
